Registrar/Administrative Assistant


Full time, M-F 10:30 am-6:30 pm
40 hours per week, 45-minute break
Starting Salary: $27,000 per year

Duties include, but are not limited to:

RECEPTION/CUSTOMER SERVICE:

Answer incoming calls
Check voicemail, return calls, forward messages to rest of staff
Make calls to students and faculty as necessary
REGISTRATION/BOOKKEEPING:
Register all students and enter data into Filemaker and Quickbooks
Invoice students throughout year according to payment schedule
Enter incoming payments into ledger for bookkeeper
Enter credits and charges as necessary
SCHEDULING:
Create and maintain faculty teaching schedules
Print and distribute teacher time sheets
Track teacher attendance and review time sheets prior to each payroll
PUBLICITY/MARKETING:
Assist with preparing and distributing newsletters, programs, flyers, etc.
Write and send press releases and enter calendar listings on media web sites
Maintain online Facebook and Twitter accounts
GENERAL OFFICE:
Manage mailing lists, print jobs and mailings
Organize and maintain files
Assist with preparations for and provide assistance at fund raising events
Provide assistance to faculty members as needed
Delegate work to student interns as needed
Track and replenish office supplies as needed
Additional duties as assigned by Executive Director

REQUIREMENTS:

Minimum Bachelor’s Degree and two years prior experience in customer service
Competent computer skills (Macintosh) including Microsoft Office, Quickbooks, Filemaker
Excellent organizational and multi-tasking skills
Ability to maintain a consistently personable disposition and address challenging situations with tact
Flexibility and willingness to work occasional weekend or evening hours at events
Background in music a plus; appreciation of music and NCMC’s mission a must!
