Telephone Operator (Cambodian, Chinese, or Vietnamese speaking)


STATUS: Non-exempt; Full time
REPORTS TO: Floor Coordinator
SUPERVISES: none
ACCOUNTABLE TO: Providers, Triage Nurse, Patients

SUMMARY:

This position will be receiving and relaying incoming telephone calls for APHCV primary care clinic appointment lines. He/she will also be involved in a variety of front desk/ receptionist duties.

APHCV expects all employees to respond and participate to emergency situation per emergency policies and procedures.

DUTIES AND RESPONSIBILITIES:

1. Answers incoming telephone calls for APHCV primary care clinic appointment lines
2. Retrieves telephone messages and follows up with appropriate actions
3. Responsible for outgoing messages; change individual voicemail and check automated system at least once a week as appropriate
4. Screens telephone calls to ensure routing to the appropriate department of individual
5. Log reasons for call to serve as data for demand studies
6. Maintains and updates an information flow chart for different departments to help with telephone routing
7. Performs cancellation, reminder and reschedule telephone calls to patients
8. Assists with appointment cancellation, reschedule, etc.
9. Utilizes public address, paging and voicemail systems to ensure proper routing of telephone calls
10. Provides general information about APHCV e.g. directions, scope of services, etc.
11. Prepares and maintains log of telephone calls received and transferred to reflect number of telephone calls received and distribution of telephone calls to individuals/departments
12. Performs various clerical/front desk duties as assigned

1. Work as a team player and be willing to assist other members in other duties within his/her capabilities, to aid the clinic team in providing good efficient patient care
2. Facilitate patient flow by working effectively and efficiently
3. Maintain open communication with other clinic staff
4. Maintain professional demeanor at all times with patients, caregivers, and other staff
5. Develop contingency plan in communication, priority, and productivity and inform supervisor
6. Perform other duties as assigned.

QUALIFICATIONS:

• High school diploma and (preferably) 1-year minimum working experience in a Community Based Organization or Customer Service
• Proficiency in written and verbal English
• Exceptional customer service skills
• Pleasant telephone manner
• Proficiency in PC/MAC – working knowledge of Microsoft Office applications, Medical Manager, Intranet and Internet
• Ability to speak clearly, distinctly and pleasantly on telephone and face to face patient encounters
• Ability to be courteous and effective with diverse patient populations
• Ability to establish and maintain cooperative working relationship with co-workers and patients.
• Ability to prioritize assignments to complete work in a timely manner.

HR PROCEDURAL REQUIREMENTS:

• Legal authorization to work in the United States
• A valid California Driver’s license with clean records and access to insured automobile
• Completion of APHCV Health Assessment Form
• Completion of DOJ background check

PHYSICAL REQUIREMENTS:

Must be able to materially perform the task normally associated with the position including but not limited to: Sitting, typing, lifting charts of up to 40lbs.
