The PICO National Network is a grassroots, faith-based community organization made up of 52 federations and 10 state-wide networks. PICO seeks to transform communities, states and our nation by training grassroots leaders to advocate on their own behalf on a pro-family economic agenda. PICO is organizing a strategic faith voice across this country that advocates on racial and economic justice issues such as health care, affordable housing, and revenue. The PICO National Network has a small and dynamic national staff which functions out of various offices around the country.

We are seeking an Event Coordinator who will be part of a team of PICO staff that is responsible for designing and implementing support systems that local and regional member federations can use to create powerful, cohesive voices for change. The candidate must be passionate about PICO’s mission and values, thrive in a fast-paced organization, and bring strong organizational skills to an ever-changing environment. The successful candidate will be an experienced, take charge professional with the ability to manage all network events/meetings and provide support to the Network Federation Support team. The Event Coordinator should have a love for event management, be an enthusiastic professional, tech savvy, and be able to build relationships with network staff and leaders.

Major Responsibilities Include:

Event/Meeting Management and Administration
Manage negotiations for space contracts and book event space
Coordinate program site logistics [hotel arrangements, catering, audiovisual equipment, make travel arrangements, etc.]
Ensure all network events run smoothly
Aggressively gather and track information on each project to achieve quality event management
Find resources to help staff make decisions about event possibilities
Create and revise room layouts for each event
Propose new ideas to improve the event planning and implementation process
Serve as liaison with vendors on event-related matters
Manage on-site logistics when necessary
Prepare nametags, materials, notebooks, registration lists, etc.
Prepare logistics emails in advance
Close out all events as required (including billing etc)
Distribute surveys etc. post event
Assist in preparing event budgets for Staff directors for each event project
Keep track of event finances
Keep track of all network events on PICO Master Calendar and Event Webpages
Track all events in database; add all attendees to PICO database
Maintain and update content on PICO Event webpages
Correspond with meeting participants and network staff

Provide operations support to Director of Federation Support

Requirements:

Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.
Proven ability to manage multiple tasks in a fast-paced environment as part of a team of talented, high-performing individuals.
Prior work experience in event management.
PICO is seeking a talented, high capacity individual with excellent written and spoken communication skills who can effectively problem-solve in high stakes situations yet also knows when to step back and ask for assistance.
Prior exposure to and familiarity with the field of grassroots community organizing is required.
Spanish or other language skills preferred.
Ability to travel occasionally.
Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
Excellent interpersonal skills both in person and by phone, with a high degree of professionalism.
Ability to accomplish projects with little supervision.
Knowledge of google docs, online event management systems
