Atlanta Ballet has an immediate need for a full-time Campaign Administrative Assistant. This fulltime position will support the administrative and clerical needs of the Director of Development, Capital Campaign Chair, and the Executive Director in support of the capital campaign, and ensuring the smooth operations of the business and financial procedures of the development department. Duties and responsibilities include, but are not limited to:
Campaign Administrative Liaison
• Maintain calendar, appointment and meeting scheduling and set-up
• Record, transcribe and distribute minutes of meetings including action items and next steps
• Liaise with Capital Campaign Chair and campaign counsel as directed
• Manage correspondence, communications, presentations and other documents
• File and retrieve documents and reference materials
• Conduct donor research and prepare briefing documents
Financial and Gift Processing
• Process contributions and prepare acknowledgement letters, pledge reminders, and other correspondence
• Coordinate donor database record maintenance
• Maintain accurate and up-to-date donor files ensuring audit and PCI compliance
• Prepare weekly/monthly gift reports and ensure accurate conciliation with accounting department
• Prepare and maintain donor listings for public recognition in playbill and on the website
Support for the General Development Department Operations
• Coordinate travel arrangements for the donor trip
• Interact and coordinate with internal staff at all levels as appropriate
• Interact with donors and respond to general inquires
• Assist with special events as directed
• Other duties as directed.
Qualifications/Requirements
• Bachelors degree with a minimum 3 years of experience in providing support at the executive level
• Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and fundraising database programs such as Raiser’s Edge or Tessitura (preferred)
• Knowledge of standard office administrative practices, procedures, and a familiarity with office equipment
• Great attention to detail and very strong organizational skills
• Good problem solver using often limited resources
• Team player, working always for the best interest of the organization
• Excellent organizational skills and knowledge of filing systems
• Pleasant, friendly disposition
• Excellent interpersonal skills and telephone skills.
