The Program Assistant is a key supporter of the Summer Search New York City team, managing office operations and providing essential program support. The key responsibilities include office administration, event planning support, and a wide variety of project support. This role is integral to running a strong program function. There are opportunities for growth into Program Associate role, through immediate exposure to directly serving a reduced caseload of students. Administrative and Communication Support
•Manages day-to-day activities and communication.
•Answers the general phone line, directs calls and takes messages.
•Greets office visitors and directs them as appropriate.
•Oversees incoming and outgoing mail.
•Maintains office equipment, supplies and space including requesting technicians, coordinating IT support.
•Manages presentation, organization of office and inventory of office.
•Oversees program email blasts and website updates.
•Creates student communications including mailings, emails, and phone reminders.
•Maintains and tracks student trip equipment orders and inventory.
•Supports with booking student travel.
•Enters student data in support of mentors and program staff.
Event and Project Support
•Provides assistance in coordinating staff and student events and meetings including communications, venue prep, catering, and conference calls.
•Assists with various projects on an as needed basis.
Direct Student Support
•Builds individualized relationships with 5-10 students based on Summer Search’s mentoring model to support students through the program, and ultimately toward college graduation and service based leadership.
•Previous work experience working with youth and in an office setting
•Excellent organizational and project management skills
•Self-starter who is comfortable in a close-knit team oriented setting
•Flexibility and eagerness to learn and work on different tasks as needed
•Demonstrated proficiency in interpersonal, oral, and written communication skills
•Ability to maintain confidentiality regarding our students and organization
•Strong command of Microsoft Office applications (Word, Outlook and Excel) and familiarity with database operations
•Sense of humor

Minimum Physical Requirements
