Administrative Assistant and Bookkeeper

The Chastain Park Conservancy (“CPC”) is a 501(c)3 not-for-profit entity whose mission is to restore, enhance, maintain, and preserve Chastain Park. The CPC has a staff of three that is focused on carrying out this mission on a daily basis. The CPC is interviewing for a flex-time administrative assistant and bookkeeper who can work with the CPC staff on a monthly basis to perform general administrative / donor management duties, close the books and prepare financial statements in QuickBooks. Below is a summary of the responsibilities and certain key attributes that the CPC is looking for in the candidate:

The candidate would be responsible for non –profit administrative tasks including:
o Management of donor database, direct mailings and donor gifts;

o Supporting the CPC staff and volunteers with all special events’
administrative, fundraising, planning and auction efforts;

o Working closely with the Executive Director and Board Chairman in the preparation of CPC Board related materials and administrative support;

o Assisting with general CPC related tasks such as filing, purchasing supplies and meeting coordination.

Bookkeeping duties include:
o Paying bills, processing semi-monthly payroll, recording checks and online payments received, reconciling the two bank accounts, recording the monthly journal entries and preparing the monthly financial statements in QuickBooks.

o The CPC executive director (“ED”) and the finance representative on the Board will work closely with the bookkeeper on a monthly basis to answer questions, review the financial results, and provide the appropriate level of supervision.

o In addition, the ED has set up processes to ensure that the bookkeeper’s involvement can largely be limited to “blocks” of time several times a month vs. daily involvement. Approximately 75% of the time commitment would be in the first 5 days of each month to close out the previous month’s activities.

Based on the volume of administrative tasks, transactions and our experience with closing the books, we expect that the time commitment will be approximately 15-20 hours a week. A portion of these hours would be spent at the CPC offices within Chastain Park while a portion could be worked remotely.

• Experience performing bookkeeping is a requirement and a working knowledge of QuickBooks and or Donor Perfect is a plus.

• Non-profit work experience preferred.
