Chief of Staff

The Chief of Staff reports to the President and provides leadership and operational oversight for the Office of the President. The Chief of Staff will assist in providing leadership and direction on organizational planning, human resources, financial planning, compliance as well as project management. The Chief of Staff will handle a wide range of matters of organizational importance and be responsible for the central coordination of all functions and activities in the Office of the President, including assisting with the management of staff. The Chief of Staff serves as liaison between the President/CEO and its direct-reporting team. He/she generally works behind the scenes to solve problems, mediate disputes and deal with issues before they reach the President/CEO. The Chief of Staff will act as a confidante and advisor to the President/CEO and a sounding board for ideas. He or she must prove to be trustworthy, decisive and loyal, be able to handle stress and working long hours.

As part of the President’s Cabinet the Chief of Staff will build collaborative relationships with the department heads. He/she will be responsible for overseeing and directing a broad range of high-level projects including the development, coordination and implementation of operation plans and policies to help ensure organizational effectiveness and attainment of strategic priorities consistent with the strategic plan.

ESSENTIAL JOB DUTIES OR TASKS:

The Chief of Staff will be responsible for the following:

 Serves as the principal support for the President/CEO and liaison to the Board, handling matters of organizational importance as requested and as appropriate
 Anticipates the President’s needs in advance and assures that she has prepared materials well in advance of events and meetings
 In consultation with the President/CEO, prepare agendas for internal and external meetings involving the President
 Supervises the staff in the Office of the President
 Manages the annual review process for the President
 Conducts research as necessary on issues of importance and sensitivity; producing briefing materials and information for the President and/or external constituents
 Assists the President/CEO with analyzing and managing correspondences, reports and the preparation of speeches
 Works with the President/CEO in the planning of Board and Committee meetings, working with executive staff and department heads managing Board meetings to include developing agendas and reports and following up on Board requests and action items
 Coordinates regular management team meetings with department heads and ensures follow up on projects assigned by the President
 Understanding of all organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed
 Acts as the President’s representative and ambassador to external constituents as directed working closely with the External Affairs staff
 Leads and manages special projects as assigned
 Help develop and implement key impact measurements, specifically work with technology staff in developing and sustaining a metric and measurement reporting and data process system
 Produce and implement a dashboard metric throughout the organization
 Work with Senior Vice President of Finance and Asset Management on measuring risk management and legal activities to include letters of agreement, contracts, leases and other legal documents and agreements
 Work with Senior Vice President of Finance and the HR Director on addressing sensitive personnel matters, grievances and regulatory oversight and legal compliance
 Work with Senior Vice President of Finance in ensuring the CEO receives adequate financial reporting, facilitate the development and monitoring of the budget, analyzing key financial ratios to support and advise the President/CEO in decision makingSpecialized Knowledge and Competency requirements:

As a prerequisite, the successful candidate must believe in the core values that support our mission and commitment to Philadelphia vulnerable population. The candidate must demonstrate compassion for urban neighborhoods and understanding of community development. He/she must be reasonably bilingual (English and Spanish) and has an understanding and familiarity working in the Latino/Puerto Rican community

The successful candidate should possess minimum of 20 years of administrative work. Master’s Degree preferred in Business Administration, Public Administration, or in another related field such as a Judicial Doctorate. Minimum of 10 years' high level experience in progressively more responsible administrative roles in supporting a President/Chief Executive; preferably, in a not-for-profit environment. A demonstrated record of successful independent management and administrative projects is also required.

An individual of high ethical standards who can effectively work with diverse constituencies and has exceptional interpersonal skills necessary to manage a multi-faceted operation, strong written and oral communication skills, familiarity with new technologies, organizational skills to promote collaboration and teamwork is required.

Must have the ability to interact and influence at the most senior levels of an organization and to work collaboratively across functions, levels and departments toward shared objectives.
