Development Database Coordinator

The Development Database Coordinator assures that all gifts are properly recorded and acknowledged. As an important member of the Office for Institutional Advancement, primary responsibilities include daily processing and posting of all gifts, balancing of gift accounts and processing, correspondence, maintaining gift receipt and acknowledgment files, distributing reports to the Business Office as required, and managing the matching gift process. This position will conduct reconciliations of gifts received and provide back-up information as requested. The position requires an advanced knowledge of computers and an understanding of computer software and related problem-solving skills. The ability to interact confidently with Westminster volunteers and donors and to maintain strict confidentiality is required. The ideal candidate is one who is extremely detail oriented and can comfortably and successfully manage several issues simultaneously.

Duties include:

• Organize daily mail and enter all gifts to Westminster in the Raiser’s Edge database;
• Process acknowledgments, receipts, pledge letters and other correspondence related to gifts;
• Process credit card gifts and recurring gifts while maintaining accuracy and strict confidentiality;
• Organize and send out all receipts and acknowledgement letters;
• Create and distribute all honor/memorial letters;
• Run reports related to the processing of gifts and distribute as required;
• Review and edit gift records periodically for discrepancies;
• Update biographical information in constituent records as changes come in;
• Review daily Westminster Parent Directory emails for changes to constituent records;
• Update email addresses as necessary from mass mailing responses, i.e.: bounces, user not found, etc.
• Prepare deposits for the Business Office in a timely manner;
• Assist Business Office with balancing of gift funds and accounts;
• Handle all aspects of the Matching Gift Process and serve as point of contact for Matching Gift Companies;
• Work cooperatively with the Development Database Manager;
• Maintain hard copy files of donor information.

Requirements:

• Bachelor’s Degree or Equivalent
• 2-3 years of Raiser’s Edge experience preferred;
• Ability to prioritize work and the flexibility to change directions as the job dictates;
• Ability to solve problems by selecting and applying commonly used procedures, precedents, and rules;
• Ability to work under pressure and maintain quality of detailed work while meeting deadlines;
• Experience working in complex environments with a high degree of organizational effectiveness and attention to detail
• Ability to communicate effectively with various types of people in the office
