Business Operations Manager
We believe everyone has the right to live free of violence. Futures Without Violence works to advance the health, stability, education, and security of women and girls, and men and boys worldwide. Through public education campaigns, legislative initiatives, and professional trainings and content development, Futures Without Violence transforms how hospitals, the criminal justice system, policymakers, and others address domestic and dating violence and sexual assault.
We are looking for a result-oriented, experienced business operations person to manage the day-to-day operations of Futures. The manger’s focus is to identify ways to make the organization productive and facilitate its growth by improving internal procedures, operations and business infrastructure.
Under the direction of COO/CFO, the Business Operations Manager will drive continuous process improvement and coordinate Futures operations. The specific duties include:
RESPONSIBILITIES
Operations:
• Manage and mentor administrative associate/receptionist. Coordinate backup.
• Manage operations and ensure that all administrative and facility issues are
addressed and managed optimally
• Monitor operations of all office, AV, and conference center equipments to
ensure proper function and coordinate repair as needed
• Review and approve operations related invoices
• Manage business mobile phone service account and requests
• Coordinate annual and new employee benefits enrollment & verify billing info
for accuracy and timely payments
• Coordinate disability, maternity leave administration
• Serve as a database administrator
Facility:
• Develop and implement facility policy to ensure safety, effective working
environment, and adherence to all regulatory compliance and safety standards
• Coordinate space usage and office readiness
• Manage conference center usage and rental requests. Coordinate rental
billing with Finance
• Develop Emergency Preparedness Plan and security procedures
• Point-person for facility related issues, including emergency notification (fire,
security, etc.)
• Proactively identify and resolve problems within the physical environment,
prepare budgets, work estimates and schedules, set deadlines to ensure
completion and reliability of operational functions.
• Monitor building related warranty and maintenance services
• Monitor fixed asset inventory and usage
Business Improvement:
1) Perform cost-savings research to determine which products and services are
best for the organization
2) Analyze costs and coordinate cost allocation in collaboration with Finance
EDUCATION, EXPERIENCE & SKILLS:
The incumbent must possess personal initiative and work collaboratively as a member of a diverse, multi-cultural team. The individual must have strong interpersonal, communication, and writing skills and the ability to exercise effective professional judgment. Additionally, the manager must be result-oriented, self-motivated, and resourceful.
• Bachelors Degree in finance, business or other related field or equivalent
experience
• A minimum of five years experience in operations and facility maintenance
• Experience managing or working with large database suite desired
• Experience in cost accounting and financial management system desired
• Familiarity with grants administration desirable
• Be accessible on weekends and the evening to respond to events such as
building emergencies (San Francisco city resident desirable)
• Ability to take ownership and accept personal responsibility
• Possess good judgment and ability to prioritize effectively
• Execution-oriented and adept at multi-tasking
• Strong business writing skills including: persuasive memo, technical writing,
and summary findings and recommendations reports
• Proficient user of Microsoft Office applications including Word, Excel and
PowerPoint.
